Dates and Location
What are the dates of the meeting?
The meeting will take place from March 2 to March 5. Please be sure to mark these dates on your calendar!
Where is the meeting being held?
The meeting will be hosted at the Kempinski Hotel in Cancún. The hotel is a beautiful beachfront resort with pickleball and tennis courts, a club lounge, two outdoor pools, beach villas, a kids club, luxury spa, and fitness center.
We have partnered with the hotel for discounted room rates for attendees. Please use this link to reserve your room. We recommend booking early, as room reservations are subject to availability. The hotel reservation deadline is February 5, 2025.
Registration
How do I register for the event?
You can register for the meeting by visiting our online registration page. Please ensure you complete all required fields and submit your payment by February 19, 2025.
Is there a registration fee?
Yes, there is a registration fee for members and non-members, which includes all meals, receptions, and information sessions. Please note that this fee is non-refundable after February 11, 2025.
Can I bring a guest?
Yes, you may bring a guest, though please note that your guest must be registered and will not have access to meeting sessions. There is a guest registration fee that includes all receptions and meals.
What is the cancellation policy?
If you must cancel your registration, please notify us at [email protected] as soon as possible. Cancellations made before February 1 will receive a full refund with a $75.00 handling fee, while cancellations after this date are non-refundable.
Traveling to and from the Destination
How can I book my travel to Cancún?
Attendees are responsible for booking their own travel. Cancún International Airport (CUN) is well-connected to major cities worldwide. We recommend booking flights early to secure the best rates. As an NASF member you receive a Delta discount.

Is transportation to and from the venue included?
Yes. Transportation will be provided to and from the hotel and airport. Your flight details will be requested once you’re registered in order for us to assign you into group transportation. Additionally, any offsite excursions registered through NASF will also have transportation provided.
Do I need a visa to travel to Mexico?
U.S. citizens do not require a visa to travel to Mexico. You will, however, require a passport.
What is the entry/Customs process like?
After getting off the plane, follow signage to Customs. If you do not have children with you, you will go to the left-hand/smaller side of Customs and can use the automated entry booths, which require you to scan your passport, enter a booth and take a picture of yourself for processing. After this, a ticket will be printed out and given to you, and you are free to enter the country. On average, this whole process only takes 20-30 minutes, depending on time of your arrival.
If you have children with you or are not a citizen of Canada or the United States, you will go to the right-hand/larger side of Customs to enter the country manually.

Do I need to pay a tourist tax before leaving?
The Mexican state of Quintana Roo, where Cancún is located, requires that all international visitors pay a VisiTAX before leaving. This tax is $20.99 per person and can be paid online (following instructions on the printed out ticket you receive upon entering the country) before arriving to the airport to leave. The tax is used to mitigate the impact on Cancún’s beaches, natural reserves and archeological sites.
Note: While some travelers have reported not paying the VisiTAX before leaving the Cancún, we highly recommend paying it just in case, as it is mandated before the government of the state of Quintana Roo.

Once We’re There…
Will there be any networking or social events during the meeting?
Yes, we have scheduled networking opportunities, including several receptions and social dinners, so you can connect with other attendees. Visit our “Agenda” page for more information.
What should I wear to the meeting?
The meeting sessions will be business casual. For social events, feel free to dress more casually, though we recommend bringing light layers to stay comfortable in Cancún’s warm climate.
Is there a dress code for the social or evening events?
For the evening events and dinners, the dress code is resort casual. We suggest bringing comfortable yet stylish attire for these occasions.
What will the weather be like?
Even in March, Cancún is expected to be warm. The average temperatures should be between 74 and 80-degrees. Be sure to pack light, breathable clothing, sunscreen, and a hat to stay comfortable. You may want to bring a light sweater for cooler evenings. We will send an updated forecast to registrants closer to the meeting dates.
How will I charge my phone, laptop and other devices?
You do not need a power adapter for your visit. Mexico uses the same plug types (A and B) as the U.S.
How can I stay connected with the event and other attendees?
We will be providing the link to a WhatsApp group where attendees can connect. We will share daily schedules and important updates. Details will be shared once you complete your registration.
Your Safety
Will I be safe in Cancún?
Cancún is safe, open and welcoming to tourists – especially for those staying in the exclusive Hotel Zone (Zona Hotelera), which is where our host hotel, the Kempinski, is located. Because of the income generated through tourism, the Mexican government takes extra precautions to ensure enhanced safety for visitors – even as the crime rate in Cancún is one of the lowest in Mexico and lower than many large U.S. cities.

Is it safe to drink the water while I’m there?
Yes. The Kempinski uses clean, potable water, and bottled water will be provided to you in your room throughout your stay during morning housekeeping and turndown service for drinking.
Are there any health or safety guidelines for attending the meeting?
We are closely monitoring the health and safety guidelines for travel ahead of our meeting. At this time, there are no restrictions or advisories in place in Cancún.
What should I do if I have dietary restrictions or special needs?
Please let us know in advance if you have any dietary restrictions, medical conditions, or other special needs. You can provide this information during the registration process, and we will do our best to accommodate your requests.
